1. What are cookies?

Cookies are small text files stored on your device when you visit a website. They help the site remember your actions and preferences (such as login, language, or region) so you don’t have to re-enter them each time you return.

Cookies may also be used to measure how visitors use a site, improve performance, and support marketing.

  • Analytical/Performance cookies – Collect anonymous data about how visitors use the Site (e.g., Google Analytics). These help us improve functionality and user experience.
  • Marketing/Targeting cookies – Track browsing habits to provide relevant advertising or measure the effectiveness of campaigns. These are only used with your consent.

3. Third-party cookies

Some cookies are placed by third parties (e.g., Google Analytics, YouTube, LinkedIn, or other providers whose content is embedded on our Site). These third parties may track your use of other websites as well. Their own privacy/cookie policies govern their cookie use.

4. Legal basis

We only use non-essential cookies (functional, analytical, marketing) when you give us consent (Art. 6(1)(a) GDPR). You can withdraw your consent at any time. Strictly necessary cookies are used on the basis of legitimate interest (Art. 6(1)(f) GDPR).

5. Managing cookies

  • Comply with legal, tax, and regulatory obligations.

In short, we use your information to communicate effectively, deliver our services responsibly, and continually improve them.

What information do we collect
We may collect two categories of data:

Navigation data
When you browse our website, certain technical information is automatically collected, such as your IP address, browser type, operating system, and pages visited. Information you provide directly
When you contact us by email, phone, or web form, or when you register for an event, we collect the details you share (such as your name, email address, telephone number, company, and any additional information you include). This enables us to respond to your request and provide the service you expect.

With whom we share information
We do not sell your data. We may share your information with:

  • Trusted service providers (such as IT hosting, email distribution, CRM, or analytics providers) who process data on our behalf under strict agreements.

  • Legal authorities, where required by law or court order.

  • Affiliated QNET offices are responsible for internal administration and service delivery.

Whenever we work with third parties, we ensure they provide adequate safeguards for privacy and data security. If data is transferred outside the EEA, we use GDPR-compliant safeguards such as Standard Contractual Clauses.

When can we contact you
Promotional communication: If you subscribe to our newsletter or give consent, we may send you updates and invitations. You can unsubscribe at any time.
Service and administrative messages: We may also contact you regarding important updates about services you use, billing, or security matters. These messages are necessary and cannot be opted out of.

How long do we keep your information

We keep your data only as long as needed for the purpose collected:

  • Business contact details are kept for as long as the relationship is active.

  • Financial and tax data are retained for 7 years, as legally required.

  • After expiry, your data is securely deleted or anonymised.

Your rights under GDPR

You have the right to:

  • Access the personal data we hold about you.

  • Request correction of inaccurate or incomplete data.

  • Request deletion of your data (“right to be forgotten”).

If you wish to exercise these rights, please contact us (see below). If you are not satisfied with our response, you may complain to the Dutch Data Protection Authority: https://autoriteitpersoonsgegevens.nl

We may update this Privacy Policy from time to time. Any changes will be posted on our website, with the date of revision clearly indicated.
